Green Office Program

The Green Office Program allows employees to work together to adopt environmentally friendly behaviors in their offices and earn Bronze, Silver, and Gold certifications. Certification checklist items align with the University’s Climate Action Plan and Tailloires Declaration commitments. Through the process of earning these certifications, faculty and staff build community across offices, learn more about sustainability, minimize environmental impact, and help establish a culture of sustainability.

USAC's sustainability committee and the Office for Sustainability established the Green Office Program in 2011. Since then, the program has grown to include more than 30 administrative and academic offices.

Employees throughout the entire University are invited to participate. Each office is encouraged to define its own space based on what is appropriate, even if your "office" does not easily fit within four walls. You may want to certify an entire department or work toward certification within a subset of the department

Each checklist builds off of the accomplishments of the last. All of the checklists can be found at the bottom of this page. Offices re-certify annually to maintain their Green Office Program certification.

Become a Green Office

First, form a Green Team. Green Teams consist of people in your office who are interested in supporting sustainability at UR. Two-to-five people is a good size.

Next, appoint a Green Team Leader. This person is responsible for ensuring that your office registers with the Office for Sustainability, organizes the team, and acts as a point of contact for the program.

Contact the Office for Sustainability at sustainability@richmond.edu to schedule a Green Office Program presentation. This presentation is mandatory for certification and re-certification.

When your office is ready to proceed, review the bronze checklist. Be sure to share the environmental impacts of each action and the tools offered to help your office achieve each goal. Work with the Office for Sustainability to select additional office-specific goals and to have new checklist items approved.

Complete the checklist and submit to the Office for Sustainability. At least two-thirds of an office must sign the achievement form. After the achievement form is completed, the office will be listed as a Green Office on the sustainability website. The office will also receive a certificate to display.

After completing the bronze checklist, begin work toward earning silver, and then gold.

Bronze Checklist

In addition to participating in the Green Office Program presentation, 12 of the following actions are required:

Sign the Green Team leader sign up to receive the sustainability newsletter and forward to the office.

Turn off personal computers, monitors, printers, and other office equipment at night.

Set sleep settings on computers to activate when away for more than 10 minutes. for office computers.

Turn off common printers, copiers, and scanners at night.

Turn off common area office lights at night.

Train staff on University recycling guidelines.

Commingle correctly labeled recycling and trash bins in common spaces.

Purchase paper with at least 30 percent post-consumer recycled content for use throughout office.

Set copiers to automatically print double-sided wherever possible.

 Set computers to default to double-sided printing wherever possible.

Recycle ink and toner cartridges.

Ensure office scrap paper bins are available.

 Provide new employees with information about the University's and the department's sustainability efforts.

After completing the bronze checklist, it's time to use the silver acheivement form to mark your office's commitments. Please check off the items your office has completed and have the form signed by at least two-thirds of your office, including someone from your office's management team.

Silver Checklist

11 actions are required

Purchase sustainable office materials (i.e. made from recycled material).

Participate in the UR Office Supply Exchange (UROSE).

Recycle electronics, computer accessories, and other small electronics through IS.

Use power-saving energy settings for computers.

Power-down office prior to breaks and holidays.

Participate in the Departmental Bike Program through Recreation & Wellness.

Check with facilities for surplus inventory before ordering new furniture.

Replace incandescent bulbs with LEDs or compact florescent bulbs.

Use only eco-friendly dish soap and other cleaning products.

Use reusable diningware on a daily basis and offer reusable materials to guests.

Follow sustainable event practices including no bottled water and no balloons.

Post information for alternatives to single-occupancy vehicle transportation.

Gold Checklist

11 actions are required

Adhere to optimal energy saving temperature guidelines: set thermostat to 66-70°F in the winter and 74-78°F in the summer.

Consolidate office supply orders to a monthly order.

Eliminate bottled water or water service for daily use.

Unplug microwaves and coffee makers at night and when not in use; when needed, replace with Energy Star models.

Eliminate personal printers and scanners.

Purchase at least 30% recycled-content paper for external printing jobs.

Eliminate the use of space heaters.

Eliminate the use of disposable plates, cups, mugs, etc., at informal (non-catered) meetings.

Utilize reusable plates, glasses, and utensils at catered functions and office events.

Purchase offsets or choose low-carbon travel strategies when making work-related travel plans.

Track printing and set a goal to reduce by 10%.

Create online alternatives for publications and forms.

Encourage staff to participate in a sustainability webinar or other professional development or community-building opportunity.
